What Is Show Management, Anyway?

In small or medium events, your production needs might be supported by the in-house team or a local labor & gear provider.  The support seems promising, and you receive a quote with a lot of gear and positions. Hopefully it suits your actual needs, but it’s on you to understand and decipher.

Now, on top of managing registration, venue, F&B, speakers, and everything else that comes with planning an event, you’re expected to be a production expert.

Do we have the right AV package? The right crew? What are the union requirements we need to be aware of? What does the production schedule need to look like? Who’s building the run of show? How are we collecting and deploying content? Who’s briefing the in-house AV team on every session? Who’s running rehearsals?

None of those things are optional just because the event is smaller.

There’s a Better Approach: Show Management

Show Management fills the gap between managing production yourself and hiring an agency for full support.

Your AV partner (whether it’s in-house or an existing vendor) will still provide the gear and local crew. But now, you’re equipped with an experienced producer who can ensure your priorities stay front and center.

In addition to the lead producer, you are supported by a lean team built intentionally based on the needs of your program. Perhaps a Technical Director reviewing AV packages and creating technical drawings. Or additional producers leading breakouts and onsite content capture.

That support starts well before show day.  Your show management team will take a critical look at your vendor proposals, reviewing equipment, labor, and fees to make sure they make sense for the show. If something feels unnecessary or overbuilt, they work with the AV partner on your behalf to find the right solution.

That expertise can have a real impact on budget.  On one recent project, we reduced the AV quote by 27% from initial quote to invoice, while protecting the production eleements that mattered most for the show.

Once onsite, the same team is looking beyond whether the screens turn on and the microphones work. They’re thinking about quality, speaker experience, attendee experience, and whether the production decisions being made support your priorities.

For example, for a recent show in San Francisco, Cylski provided a lead producer, show caller, breakouts producer, and local ancillary producer.  The team brought deep program knowledge to showsite and made sure the local crew was well briefed and was delivering to the client’s standards.

The Right Support Looks Different for Every Event

Every event has a different mix of internal resources, venue requirements, and production partners, which means there are plenty of reasons Show Management might make sense for your event.

  • Your venue has in-house AV exclusives that limit which services can be brought in from an outside partner.

  • You already have a trusted production company providing gear and crew, but need more agency support with run of show development and speaker management.

  • You need content support – writing talk tracks, designing presentations, producing speaker bumpers and video content, writing and recording VOGs.

  • You have a series of events in different cities and want consistent production leadership even as the local vendors change.

Show Management lets you build around what’s already in place. You don’t have to replace the partners you already have to get more support.

You Don’t Have to Carry It All

A smaller event doesn’t always mean a smaller workload. And choosing in-house AV or an existing production partner doesn’t mean your planning team has to absorb everything else.

You don’t need to be a production expert to lead a great event. You just need the right people around you.
